POSITION:            Finance Manager

The Finance Manager is responsible for the maintenance of all financial accounts and transactions of the Women’s Health Center. 

MINIMUM QUALIFICATIONS:

  1. Bachelors degree in business accounting, business management or a closely related field from an accredited college or university
  2. Familiarity with Peachtree accounting software or a like system
  3. Knowledge of non-profit financial management and accounting principles
  4. Computer skills including ability to use spreadsheet and database technology efficiently
  5. Good verbal and written communication skills
  6. Computer application skills including spreadsheets, accounting software, word processing, email and internet
  7. Ability to prioritize and complete tasks in a timely manner
  8. Willingness to learn and develop new skills

DUTIES:

  1. Manage all phases of the accounting and financial reporting systems of the WHC including grant applications,  purchasing and budget preparation
  2. Prepare cash requirements and cash balance projections
  3. Prepare payroll, deposits, invoices, tax deposits and payments needed to meet the financial obligations of the Center.
  4. Monitor and administer grant fund expenditure to ensure compliance with grant       requirements
  5. Advise the Executive Director and program managers on issues of financial importance and in the preparation of budgets
  6. Prepare the annual budget as well as individual grant budgets
  7. Collaborate with program managers throughout the year to ensure that expenditures adhere to grant and budgetary requirements
  8. Serve as primary contact with employee benefits providers
  9. Prepare monthly financial statements for distribution to the board and the executive director on the financial status of the Center its departments and programs including budget variances and trends which may be detected
  10. Oversee the production of financial data and manage the record filing and document storage to ensure financial integrity
  11. Monitor the Center’s financial systems and procedures to ensure that they are functioning properly.
  12. Prepare invoices to granting agencies and required periodic financial reports
  13. Perform monthly bank reconciliations and verify weekly cash reports balance with bank reconciliation for all accounts once a month
  14. Coordinate the annual audit and submit the completed audit to appropriate granting and financial agencies
  15. Manage and maintain equipment lists and depreciation schedules
  16. Participates on senior leadership and management teams
  17. Maintains strict confidentiality regarding personnel and financial records
  18. Recommends financial protocols with respect to new programs and services as appropriate
  19. Remain current on all governmental publications regarding payroll taxes and keep the computer software updated with the appropriate withholding tables
  20. Prepare quarterly tax reports and issue W-2’s at year end
  21. Coordinate authorized payroll deductions with third party plan administrators
  22. Maintain schedules of deductions, employee reimbursements or advances, enrollments, terminations and eligibility for 401K plan
  23. Prepare annual census reports
  24. Prior to monthly closing, review accounts payable and accounts receivable  distributions to G/L report for accuracy and interface to general ledger
  25. Conduct all monthly and yearly closing processes
  26. Recommend changes to the Chart of Accounts as needed, adding new accounts and changing account titles as approved
  27. Assign identification numbers to capitalized equipment purchases and update depreciation schedules
  28. Recommend changes to the accounting system and consult with supervisor on proposed and existing accounting methods
  29. Perform all other duties as assigned

TYPICAL PHYSICAL DEMANDS AND WORKING CONDITIONS:        

Requires full range of body motion including manual and finger dexterity and eye-hand coordination with lengthy periods of sitting in a typical office environment; involves contact with staff, patients and the public; most of the work is during the typical work day (8:30 am to 5:00 pm) although some evening and weekend work may be required.
